Who is Belgravia Leisure?

We are a leisure management company that specializes in health and leisure centres, golf courses and hospitality. Belgravia Leisure manages more than 170 facilities on behalf of our clients across Australia and New Zealand. Facilities under our management include: Golf courses, Sports stadiums, Aquatic and leisure centres, Day spas and wellness retreats, Events and hospitality centres.

Exercise Physiology Cancellation Policy

We understand that life can be unpredictable, and sometimes, appointments need to be changed or cancelled. Our aim is to make the process as simple and fair as possible for everyone while ensuring all our clients can access available appointment times. Please see our policy below:


  1. Cancellation Notice
    If you need to cancel or reschedule your appointment, please let us know at least 24 hours in advance by calling us at 4431 1000 during business hours. This helps us accommodate other clients in need of appointments.

  2. Late Cancellations
    We understand that sometimes things happen unexpectedly. If you cancel within 24 hours of your appointment, we will need to charge the associated fee, as this time has been reserved specifically for you.

  3. No-shows
    If you don’t attend your appointment without prior notice, the associated fee for the appointment will be charged. After multiple no-shows, we may ask you to prepay for future appointments or limit future bookings.

  4. Late Arrivals
    We know delays can happen! If you’re more than 15 minutes late, we may need to reschedule to ensure we can give you and others the best possible care. In some cases, this may be treated as a late cancellation, and a fee may apply.

  5. Exceptions
    We’re here to support you. We recognize that emergencies and special situations can arise, and exceptions can be made on a case-by-case basis. Please speak with your Exercise Physiologist or our management team if you have any concerns.

  6. Payment of Fees
    Cancellation fees must be settled within 7 days of your cancelled or missed appointment.

  7. Who This Applies To
    This policy applies to all clients, including Workcover/SIRA, TAC/MAIB/CTP, DVA/Medicare EPC clients, NDIS and private-paying clients.

Reminder Notifications
We do our best to send reminder emails 4 days before your appointment and SMS reminders 2 days before. However, please don't rely solely on these reminders, as we cannot always guarantee their delivery. If your plans change, call us as soon as possible to reschedule. Our team are here to help you.

What is an Accredited Exercise Physiologist (AEP)? 

AEPs are university qualified, Australian Government regulated, allied health professionals equipped with the knowledge, skills and competencies to design, deliver and evaluate safe and effective exercise interventions for people with acute, subacute or chronic medical conditions, injuries or disabilities. Pathology domains covered by the services of AEPs include cardiovascular, metabolic, neurological, musculoskeletal, cancers, kidney, respiratory / pulmonary and mental health, and any other conditions for which there is evidence that exercise can improve the client’s clinical status. Belgravia Leisure’s privacy policy complies with the Australian Privacy Principles and Privacy Act 1988 and can be provided to you upon request. Belgravia Leisure is responsible for collecting and securely storing information supplied in this form. Personal information will only be disclosed where the client consents or requests access, except where required under law or where there is a serious and/or immediate threat to the safety, health or well-being of the client or the public. Medical/ Allied Health clinics use clinical management software to help run their practices. Belgravia Leisure use Nookal, a clinical management software provider. 

Our Exercise Physiologists use Nookal to 

• Document and store their clinical findings for each of their appointments with their patients. 

• Document and store any Medical/ Allied Health practitioner letters including but not limited to 

• Referrals 

• Recommendations 

• Approval letters 

• Outcome Reports 

• Manage patient bookings 

• Store personal information that assists with communication, billing and providing clinical treatment.

Personal Information

  • I understand that I am required to provide personal details including my medical history to Belgravia Leisure in order to allow my Exercise Physiologist to properly assess and provide rehabilitation while also being proactive in my health care needs.

  • I understand that Belgravia Leisure may provide my Exercise Physiologist with access to my personal details in order to facilitate delivery of services to me. I acknowledge and understand that collection of my personal information is required for the following purposes:

  1. Enable my Exercise Physiologist to provide the appropriate treatment for my ailment/injury and/or condition.

  2. Enable the onsite Exercise Physiologist to provide appointment booking services to me.

  3. Enable my Exercise Physiologist to communicate with me, including but not limited to, by email, mail, SMS or telephone for the details of appointments and/or billing purposes, to verify my identity, and/or for administrative, service development, quality control and research purposes, or those of their contractors, licensees or external service providers.

  • I provide permission to and understand why my Exercise Physiologist may be in contact with any other health professional/s such as GP or Physiotherapist; for the purpose of creating a multidisciplinary team approach to my healthcare, and to discuss my treatment and management.

  • I understand I must be an active participant in the management of my health and that I can ask questions of the health professional/s regarding my treatment any time.

  • I understand if I feel uncomfortable during the treatment, I will discuss my concerns with the health professional/s. I acknowledge that I am aware and understand the potential risks of treatment.

  • I understand I may request access to my personal information held by Belgravia Leisure at any time. If I believe that my personal information held by Belgravia Leisure is incorrect, incomplete or inaccurate I may request Belgravia Leisure to amend it.

  • I acknowledge that I am not obliged to provide any information requested of me, but that failure to do so might compromise the quality of care provided to me.

  • I understand a Telehealth consultation is an online video consultation. By connecting to a Telehealth video consultation, I am consenting to the consultation.

  • I understand I can withdraw my consent to use and disclose my personal information at any time (except when legal obligations must be met by my practitioner or Belgravia Leisure).

Exercise Treatment, Benefits and Potential Adverse Reactions 

Participating in this exercise intervention may reap benefits including, but not limited to: improving cardiovascular health,decreasing overall fat mass and increase the ability to perform daily activities. There are risks associated with all health procedures, assessments and exercise interventions. Such risks can include but are not limited to: fatigue, breathlessness, chest pain, muscle and joint soreness or strains, bruising, nausea and dizziness, fractures, disc injuries and exacerbation and/or aggravation of your condition. If clients do not understand any of these risks they are within their right to ask their practitioner for clarification. 

Exercise rehabilitation requires clients to perform exercises that may involve the problematic region. The exercise will likely improve client outcomes in the long term but may potentially aggravate symptoms at times. All necessary assessments are performed to reduce the risk of increasing a client’s complaint and gain an understanding of safe exercise prescription. 

The exercises prescribed will generally be within the client’s physical capability, determined from assessments conducted. The Exercise Physiologist assessing and treating the client is well aware of these risks of certain assessments and types of exercise and will have taken these into account before deciding to prescribe it. 

The Exercise Physiologist is trained to respond to complications. In the case of injury, appropriate care and medical treatment will be made available. If you have any concerns regarding any treatment reactions, please discuss these with your practitioner prior to commencing any treatment.
